If you've arranged for some commercial removalists to help you with the relocation of your office, here are some tips to follow.

Show the removalists which of your cabinets contain confidential files

When moving files related to your business, it's usually best to leave them in their locked filing cabinets instead of putting them into separate boxes, as this will cut down on the number of items the removalists have to move and will help you to set up the office in the new premises faster.

However, when doing this, you'll need to show the commercial removalists which of your filing cabinets contain confidential files. The reason for this is that they may need to take more precautions when transporting these filing cabinets than they will need to when moving the ones that don't contain any sensitive paperwork.

They might, for instance, transport these in a separate vehicle to your other office items, and take a stricter approach when transporting this load. They might, for example, make fewer stops at fuel stations and arrange for one of the removalists to always remain by or inside the vehicle during any essential stops they have to make (to make it harder for anyone who might want to steal the filing cabinets' contents from doing so).

Email your staff to remind them to remove their belongings from their desks

The day before your staff's final day at your current office premises, you should email each of them, to remind them to remove their personal belongings from their desks. Whilst the commercial removalists might be able to pack and move your staff's personal possessions, it's best not to have them do this.

The reason for this is that if all of your staff's knick-knacks, stationery, photos and other personal items are packed into, for example, three big boxes, your staff will probably have to spend a lot of their first morning at the new office rifling through these boxes, to find the objects that belong to them. This would be a waste of time, during a period when both you and your staff will have a lot of other things to do, to get the office ready for use.
